Advantages of creating a user group
User groups are typically a collection of users who perform a similar task or function. A good example might be a group of Customer Service Representatives (CSR’s) who are placed in a CSR user group. In this group, the members can share useful information within a particular organization. Furthermore, if a customer reaches out to an organization multiple times, the history of information will be there for any CSR to pick up the conversation where it left off making for a better customer experience.
Users can belong to multiple user groups to which permissions are assigned. A user who belongs to multiple user groups retains the least restrictive set of permissions defined by the groups they belong to.
Each organization has its own user groups. User groups can only contain users for the same organization that the user was created for, except in the case of a user group created by the Hub organization, which can contain users of any organization.
There are many benefits to creating a user group such as:
- Ability to better organize users based on their role or department. This makes user management easier and provides a better understanding of who has access to what.
- Facilitating communication between group members. As mentioned in the previous example, you can create a user group for CSR’s.
- By creating a user group, you can specify permissions for multiple users at once to ensure that each user has the appropriate permissions for their work and avoid having to configure them for each user individually.
- Grouping users with similar permissions together will also strengthen the security of your system. For example, you can create a group of users with administrative access and ensure that only authorized user accounts have access.
- Creating a user group saves time and energy by centralizing user management. You can easily add or remove group members, as well as update their permissions and roles, without having to do it for each user individually.
User groups can be used in various contexts. For development environments a user group can help to manage access permissions to different projects or environments. Companies can allow each group to have different permissions and roles depending on the needs of the department. to manage access to different applications and services. Educational institutions to manage access authorizations to different courses or departments groups for each department or course
